Group-GTS has drawn up a privacy policy in pursuance of the GDPR regulation. With this privacy statement we want to provide clear and transparent information about what data we collect and what we do with personal data. We make every effort to guarantee your privacy so we take great care with personal data. Group-GTS at all times adheres to the applicable laws and regulations, including the General Data Protection Regulation.

This means that in any event we:

  • Process your personal data in accordance with the purpose for which it is provided. These purposes and type of personal data are described in this privacy statement;

  • The processing of your personal data is restricted to only the data required for the purposes for which they are processed;

  • Ask for your explicit permission if we require this for processing certain personal data;

  • Have taken appropriate technical and organisational measures so the security of your personal data is guaranteed;

  • Pass no personal data on to other parties, unless this is required for the purposes for which they are provided;

  • Make sure that we as an organisation and you as an employee know your rights concerning your personal data, we make you aware of this and respect it.

WHY DO WE PROCESS DATA?

Your personal data are processed by Group-GTS with the following purposes and legal grounds in mind:

Recruitment and selection, personnel administration, pay administration, evaluation. Employees, welfare at work, occupational medicine, work accident follow-up, absenteeism monitoring, access control, camera surveillance on the company premises, time registration, onboard unit, onboard computer, vehicle geolocation, vehicle fleet management, telephone logging, company telephone administration, administration of meal and eco vouchers, administration for commuting allowance, sending mails and post.

For the objectives above we can ask you for, save, collect and process the following personal data:

  • Personal identification data: surname, forename, address, place of birth, date of birth, landline number, mobile phone number, email address, gender, data on children, number of dependants, civil status, identity card number, driving licence number, pension registration number, national registration number;

  • Financial identification data: name of bank, bank account number;
  • Marriage or current form of cohabitation: data on spouse or partner (surname, forename, date of birth, occupation, national registration number, date of marriage);

  • Academic curriculum: diplomas, summary of schools attended, after-school training followed, courses followed;

  • Career details: current employer, last employers, periods without employer, position title, category of position, department, experience at current employer, status in previous positions, date of starting employment, length of continuous employment;

  • Termination of employment: date of departure, reason for departure, period of notice, termination conditions;

  • Attendance and discipline: summary of absence, reason for absence, disciplinary measures;

  • Payroll data: Payment and deductions, salary, bonuses, benefits, deductions, method of payment.

This list is not exhaustive. The parties mentioned can always be replaced by another depending on changed circumstances.

PROVISION TO THIRD PARTIES

We can provide the data you give us to third parties if this is required for achieving the purposes described above.

We use third parties for:

  • ICT services: Servecom, Reejeel

  • Training centres: De Coninck, VDAB, Etco, Cevora, Sociaal Fonds Transport en Logistiek, Logos, KMO

  • Telecom services: Orange and Proximus

  • Vehicle fleet management: Garage Hermans, Garage Van Houdt

  • Employment agencies: Accent, Q Jobs, Synergie, Technics, Vio, Cepa

  • Health insurance funds: CM, De Voorzorg, Liberale Mutualiteit, Vlaams Ziekenfonds, Onafhankelijk ziekenfonds

  • Industrial accident insurance: Baloise

  • Medical examination centres: CLB, Idewe

  • Access control: Net 2, Alfapass, Secure Logistics

  • Driver permits: Digitach

  • Onboard computer: Trimble

  • Social inspection service: Solid

  • Time registration: Fleethours

  • Management system: TAS

  • Pump installation: Tockheim

  • Child allowance: Mensura

  • Meal and eco vouchers: Sodexo

This list is not exhaustive. The parties mentioned can always be replaced by another depending on changed circumstances.
We never give personal data to other parties if we have not concluded a processor agreement with them. We obviously make the necessary arrangements with these parties to guarantee the security of your personal data. Neither we will pass data provided by you to third parties unless this is required and permitted by law. An example of this is the police asking us for personal data in the context of an investigation. In a such a case we must cooperate and are accordingly bound to provide these data. We can also share personal data with third parties if you have given us your written permission for this. You have the right to withdraw this permission at any time without affecting the legality of processing before the withdrawal of the permission. We provide no personal data to parties established outside the EU.

PERIOD OF SAVING

Group-GTS retains personal data for no longer than required for the purpose for which it was provided or as required by law. As a general rule, personal data are saved for a maximum of 10 years after its last use or a longer period if required by law. We have taken appropriate technical and organisational measures to protect personal data on employees from wrongful processing with the following measures:

  • All persons who can see your data on behalf of Group-GTS are bound to confidentiality of the data.

  • We use a user name and password policy in all our systems.

  • We encrypt personal data should this be necessary.

  • We make back-ups of the personal data to be able to restore the data after physical or technical incidents.

  • We regularly test and evaluate our measures.

  • Our employees are aware of the importance of the protection of personnel data

Your rights concerning your data.

You have the right to view and correct or delete the personal data that we have received from you. You can see how to contact us at the top of this privacy statement. You can also object to the processing of your personal data or a part of the data by us or by one of the processors to the extent this is not legally determined or needed to carry out an agreement. You also have the right to have the data provided by you transferred to yourself or directly to another party. We can ask you to identify yourself before we can respond to such a request.

COMPLAINTS

Should you have any complaints about the processing of your personal data we ask you to make direct contact with us. You always have the right to submit a complaint to the Privacy Commission, this being the supervisory body for privacy protection.
